  • Drops off a device at our workshop
  • Has us attend their premises for on-site support

We collect personal information directly from you in most cases — for example, when you fill in a job sheet, contact us by phone or email, or book a service through our website.

In some cases we may collect information indirectly, such as when a third party books a service on your behalf. Where this occurs, we will take reasonable steps to make you aware that we hold your information and why.

4. Why We Collect Your Information

We collect personal information only for lawful purposes directly related to our services. Specifically, we use your information to:

  • Identify you and communicate with you about your job
  • Diagnose and repair your device
  • Provide quotes, invoices, and receipts
  • Contact you when your device is ready for collection
  • Follow up after a job to ensure you are satisfied
  • Meet our legal and regulatory obligations

We will not use your information for any purpose that is unrelated to the reason it was collected, without first obtaining your consent.

5. How We Store and Protect Your Information

We take reasonable steps to keep your personal information secure from unauthorised access, loss, or misuse. These steps include:

  • Storing digital records in password-protected systems with two-factor authentication
  • Keeping physical job sheets in a secure location at our premises
  • Destroying or de-identifying records securely when they are no longer needed
  • Not leaving devices or customer records accessible to third parties

No system is completely secure, and we cannot guarantee absolute security. In the event of a privacy breach that is likely to cause serious harm, we will notify the Office of the Privacy Commissioner and affected individuals as soon as reasonably practicable, as required under the Privacy Act 2020.

6. How Long We Keep Your Information

We retain customer records for a minimum of seven years following the completion of a job, in order to meet our tax and legal obligations under New Zealand law. After this period, records are securely deleted or destroyed.

Device passwords and PINs are deleted from our records immediately upon return of your device.

7. Who We Share Your Information With

We do not sell, rent, or share your personal information with third parties for marketing purposes. We may share your information only in the following limited circumstances:

  • With parts suppliers or couriers, where strictly necessary to fulfil a repair (e.g., a delivery address for a warranty return)
  • With our accountant or tax adviser, where required for our financial records
  • Where we are required to by law, such as in response to a court order or request from a regulatory authority

Any third parties with whom we share your information are required to handle it in accordance with the Privacy Act 2020.

8. Your Rights

Under the Privacy Act 2020, you have the right to:

  • Request access to the personal information we hold about you
  • Ask us to correct any personal information that is inaccurate or out of date
  • Ask us to delete your personal information, where we are not legally required to retain it
  • Withdraw consent for us to use your information for any purpose beyond the original reason it was collected

To exercise any of these rights, please contact us using the details in Section 11. We will respond to all requests within 20 working days, as required under the Privacy Act 2020.

9. Device Data and Files

In the course of diagnosing or repairing your device, our technician may need to access files, folders, or applications stored on it. We will only access what is necessary to carry out the requested service.

We will not copy, retain, or share any personal files from your device. We strongly recommend that you back up your data before handing your device in for service. Please refer to our Terms and Conditions for our liability position on data loss.

10. Website and Cookies

Our website at liftitsolutions.nz may collect standard technical information, such as your IP address and browser type, through the web hosting platform. This information is used only for the purpose of operating and improving the website and is not linked to your identity.

If the website uses cookies or analytics tools, these will be disclosed clearly on the website. You can disable cookies through your browser settings at any time.

11. Privacy Officer and Contact

As required by the Privacy Act 2020, Lift IT Solutions has appointed a Privacy Officer. For a sole trader business of this size, this role is fulfilled by the business owner.
